Setting the Scene

Natasha and RJ have been engaged since July 4th, but they met and have been dating since they had the perfect meet cute at a dive bar in Deep Ellum. She hails from Edmond, Oklahoma and he from Houston, Texas, so they will be having a large majority of their guests come in from out of town.

They are looking to plan a wedding on April 9, 2020, and have settled on Fort Worth as the location of their nuptials. They have determined that the Fort Worth Botanical Gardens will host the ceremony. They haven’t yet selected the perfect location for the reception, but importantly they want something that has good bones to be able to build their wedding design upon. Natasha and RJ will have around 25-30 guests so attention to detail and guest experience is crucial for them as they will all be able to experience the wedding day in a very intimate way.

While they both gravitate toward a more contemporary style, Natasha and RJ, believe in an aesthetic that leans toward bright colors and elegant design that truly reflects them as a couple. They are both into food as well so the meal is a very important aspect of the evening, especially for RJ, while Natasha’s focus will be on the decor and making sure that their eventual reception space feels full yet appropriate to make their event truly intimate.

Planning in the current global environment, they are interested in a planning package that includes both vendor and logistics support in the final months and overall concept and design. They will have a wedding that is very intimate and are looking for it to be fun and not too stuffy. Natasha and RJ are interested in making their wedding as unique as possible as well as incredibly fun to ensure that all of their guests have an incredible time.

Personalized Wedding Plan 

Please find below your road map to a successful, beautiful, and bespoke event via Month-of Wedding Planning.

Pre-Wedding

• Access to online wedding checklist

• Access to online wedding budget

• Starting eight weeks prior to your event: pre-determined monthly wedding meetings, weekly phone calls, and daily emails as necessary to plan and finalize wedding details

• Produce itinerary documents for the wedding party and all vendors with minute-by-minute wedding details

• Provide venue walk-through at reception venue at time of venue contract signing

• Provide vendor walk-through at reception venue one (1) week prior to the wedding

• Gather and deliver amenity bags for out-of-town guests

• Manage wedding apparel (This could include wedding gown pick-up and one (1) bustle appointment and/or tuxedo or suit fittings.)

• Assist in recommending dance lessons for the couple

• Plan ceremony and discuss family information, pew seating, processional, and recessional

• Meet with couple and family one (1) week prior to the wedding: pick up all personal items (guest book, pen, portrait, toasting glasses, sign-in book, cake knife, favors, programs, etc.) and transport to ceremony and reception venue

• Attend rehearsal ceremony, coordinate ceremony (in the absence or in concurrence with on-site church coordinator), handle marriage license, and church fee

Wedding Day

• Manage all vendor set-up on the day of your event and on-site coordination of partners throughout the event

• Coordinate payment of partner balances and distribute tips as requested

• Coordinate transportation for out-of-town guests and wedding party

• Deliver wedding attire, as well as assist couple and wedding party in the dressing rooms prior to the ceremony

• Coordinate wedding ceremony and wedding reception (This includes pre-ceremony and post-ceremony pictures as well as day-of activities.)

Post Wedding

• Return all personal items and gifts to the couple following the honeymoon

Special Design Package

• Recommend and manage contracts for design vendors who fit the budget

• Schedule and attend design vendor selection and planning appointments (This list may include venue, floral, linen, stationary, lighting, rentals and decor vendors)

• Consult on personal design and wedding vision

• Create wedding concept, design, floor plans, and color palette

Rates

Flat Month-of Wedding Planning: $7500 | 50% retainer due at signing | 50% remainder two weeks prior to the wedding

Flat Design Package: $2500 | 50% retainer due at signing | 50% remainder two weeks prior to the wedding – This add on is being waived and will be included in the above $7500 rate

Note: The above rate includes wedding and reception month-of planning. It does not include the cost of rehearsal dinner, welcome party, or post-wedding brunch planning.

Additional Staffing Fee: $30 per hour for assistants on the wedding weekend | billed post-wedding | estimated at $350

Planner

Julian has over 15 years in the event planning, luxury hospitality, and etiquette industry. His diverse experience includes catering management, floral design, corporate occasions, and large-scale wedding and event production. Julian enjoys playing golf; is an avid reader; and loves traveling, having visited over 20 countries around the world.
